CTLL works on the basis of a straightforward service contract that covers how we handle your Associate Plan retainer, pay-as-you-go instructions, use of the CTLL Portal, confidentiality, data protection and service standards. This page walks your firm through reviewing and signing the contract, sharing the information we need, and understanding how onboarding, billing and plan changes work so you can get started with confidence.
How to get your Service Contract
Once we establish contact, we will create your access to the CTLL Portal, and we will sign you up. The agreement sets out the scope of services we provide, how the Associate Plan and pay-as-you-go options work, how we use the CTLL Portal to manage your instructions, and our commitments around confidentiality, data protection and service levels. Please review it carefully within your firm before signing so that any internal questions can be addressed upfront.
| Step | What happens |
|---|---|
| 1. Review the contract | Your firm downloads the CTLL Service Contract, circulates it internally and confirms that the terms align with your risk, billing and operational policies. |
| 2. Choose your plan | You decide whether to start on the Associate Plan retainer, use CTLL on a pay-as-you-go basis, or request a custom package for higher volumes. |
| 3. Sign the agreement | An authorised signatory signs the contract electronically or uploads a signed copy via the online form so we can countersign and open your account. |
| 4. Share firm information | You provide key firm details, billing contacts and expected service mix so we can set up your profile correctly and avoid any month-end surprises. |
| 5. CTLL sets up your portal | We create your CTLL Portal board, add your authorised users and configure basic workflows for common instruction types (e.g. Master’s Office, Deeds, High Court). |
| 6. Onboarding call and first runs | We hold a short onboarding call to walk you through the portal, then you start logging instructions and we begin running your first matters. |
To configure your CTLL account and CTLL Portal correctly, we will ask for a concise set of details about your practice. These typically include:
- Firm name, registration details and physical billing address.
- Primary contact attorney and a backup contact for day-to-day instructions.
- Accounts / billing contact and preferred billing method (online payment via Sign Up & Pay or monthly invoice after contract signature).
- Practice areas and the types of court or office runs you expect to use most often.
- An approximate view of expected monthly volume so we can confirm whether the Associate Plan, pay-as-you-go or a custom package is the best fit.
- Any special requirements, routing notes or internal reference fields you would like us to capture on your CTLL Portal board.
Once your contract is signed and we have your firm details, we set up your private CTLL Portal within one to two business days. We create user profiles for your authorised attorneys and support staff, apply basic templates for common instruction types, and test notifications so you receive real-time updates on each run. A short onboarding call or screen-share is offered to walk your team through logging instructions, tracking progress and accessing stamped documents.
| Trigger | Billing and plan effect |
|---|---|
| Associate Plan contract signed | Billing for the Associate Plan typically starts on the effective date in the contract or on the date of your first successful Associate Plan payment via the Sign Up & Pay page, whichever is specified in your agreement. |
| First pay-as-you-go instruction | For once-off runs, charges apply per completed instruction. You can pay upfront via the Sign Up & Pay page or, if agreed, by invoice issued shortly after the run. |
| Urgent / same-day express run | Urgent express runs carry an additional flat fee over and above standard run pricing. These charges are clearly identified per instruction so there are no hidden extras. |
| Moving from pay-as-you-go to Associate Plan | You can move onto the Associate Plan at the start of a new month or another agreed date. We confirm the new start date in writing and apply the new pricing from that date onwards. |
| Adjusting or cancelling your plan | Plan changes and cancellations require written notice within the period set out in the contract. We confirm the effective date of any change so you know exactly when new pricing or termination applies. |
| High-volume custom packages | If your volumes grow beyond the standard Associate Plan, we can propose a custom package with agreed pricing and review intervals, documented either in a new schedule or an addendum to your contract. |
If you would like to clarify any clause, align the CTLL Service Contract with your firm’s internal policies, or understand how the Associate Plan compares with pay-as-you-go for your particular matters, we are happy to help.
